Office Manager – The Children’s Room – Arlington, MA

The Children’s Room (TCR) in Arlington MA is looking for an Office Manager to assist with the oversight and management of the day-to-day operations and administrative functions of our organization

Position Summary:

The Office Manager assists the Executive Director with oversight and management of the day-to-day operations and administrative functions of the organization. Areas of responsibility include computer technology, phone and e-mail functions, purchasing, human resources and facilities.

Responsibilities:

Evaluate, purchase and set up computer equipment (hardware & software) as needed

Assist staff with tech needs for events, trainings and provide general trouble-shooting and maintenance / updates

Act as liaison with IT volunteer

Manage filing systems, including paper records and online Dropbox accounts

Trouble-shoot printing/scanning issues, track printing usage/overage and enter quarterly printing totals

Answer telephones, responding to general questions and transferring calls to appropriate staff member

Open, sort and distribute incoming mail, faxes and e-mail (to general mail box)

Review mail for monetary donations and complete daily deposit slip for Development

Greet and direct visitors as needed

Administer changes to phone system and extensions, manage voicemail recordings and call flow and assist staff as needed

Maintain administrative powers over Google system, including enabling new Google Apps, set up and train email / calendar accounts for new staff and interns, troubleshoot issues for staff as required

Maintain TCR’s password list and online account information, making updates as necessary

Assist with general updates to TCR’s website (using WordPress)

Oversee TCR and staff calendars to be aware of possible conflicts and to be prepared for visitors or special events

Maintain inventory of office equipment, office supplies and program supplies. Order and re-stock as needed

Responsible for general house operations – heat, A/C, plumbing, animal control, kitchen, garden, garbage collection, etc.

Act as liaison with outside contractors on construction projects as required

Assist ED in various Human Resource activities including but not limited to hiring of new employees/interns, annual employee evaluations, administration of benefits, employee handbook updates, payroll processing, CORI checks

Assist with administrative duties relating to TCR’s Board of Directors, including but not limited to filing agendas and minutes and updating orientation materials

Oversee non-program volunteers for house and garden

Other duties as assigned by the Executive Director

Qualifications:

4 year college degree

Experience overseeing all aspects of operations, including human resources, IT management and facilities.

Knowledge of computer hardware, Dropbox management, and general systems

Ability to use both PC and Mac computers, excellent skills in MS Office

Excellent interpersonal skills, and oral and written English communication

Excellent organizational and time management skills

Demonstrated ability to manage confidential information with integrity and to maintain privacy requirements

Ability to work on a flexible schedule as needed (occasional events or training on nights / weekends)

Ability to climb stairs and lift items occasionally (for restocking supplies and helping manage our four-floor facility). Otherwise qualified applicants with concerns about physical ability requirements are encouraged to apply; reasonable accommodations can be discussed.
