The Office & Programs Coordinator plays a vital role in improving efficiencies in ACS operations, logistics, and programming. This full-time, exempt position provides executive support to the association’s three staff Directors, general administrative support for all staff, and is a key team member particularly in daily office operations, program coordination, and at our Annual Conference. Key duties include but are not limited to:
Answering incoming calls, processing mail, and overseeing day-to-day office operations
General administrative and Accounts Payable functions
Maintaining accurate office and event inventory, ordering supplies, handling equipment maintenance, and shipping logistics
Oversight of scheduling and project management systems and software
Coordinating and assisting committees and Board of Directors with all logistics
Scheduling webinars and serving as moderator
Researching vendors and coordinating contract details
Managing complex and detailed data for annual cheese competition
Creating, maintaining, and overseeing staff Conference timeline and master schedule
EDUCATION
Four-year accredited Bachelor’s degree or Associate’s degree.
EXPERIENCE
Minimum of two years administrative, office coordination, and/or customer service experience. Entry- and mid-career professionals are encouraged to apply.
REQUIRED SKILLS, KNOWLEDGE & ABILITIES
Extensive experience with Microsoft Office Suite, particularly Excel
Exceptional customer service, interpersonal skills, phone skills, email etiquette, and professional and cheerful business demeanor
Excellent organizational skills and attention to detail
Effective oral and written communication skills
Quick and accurate word-processing and data entry skills, typing speed of at least 60 words per minute
Ability to work under time constraint and juggle multiple projects and tasks simultaneously in a fast-paced environment in which priorities and deadlines change frequently
Strong, writing, editing, grammatical, and math skills
Diplomacy and comfort in interacting with all types of people
Reliable, honest, and with a positive outlook
Ability to maintain discretion where sensitive and confidential issues are concerned
Ability to work flexible/additional hours as needed
Ability to travel at least once each year to Annual Conference (must be available for travel July 20 – August 3, 2015)
Ability to lift at least 40 lbs (for event/meeting set up and supply handling)
DESIRED QUALIFICATIONS
Proficient with QuickBooks (or similar accounting software) and Asana (or other project management software)
Non-profit, association, or foundation experience, preferably in a member-based organization
Knowledge of association membership databases (especially Abila’s netForum)
Knowledge of the specialty foods market and/or interest in cheese and gourmet foods
Desire to be a part of a healthy organizational culture that encourages teamwork, collaboration, and growth
A flexible, proactive problem-solver who never says “it’s not my job”
