Operations Coordinator – Inter American Dialogue – Washington, DC

Title: Operations Coordinator

Reports to: Director, Finance and Administration and Director of Special Events

The Inter-American Dialogue seeks an entry-level staff person to join its excellent team. The Operations Coordinator will support Dialogue’s team in a range of activities (see below).A Bachelor’s degree is required. Minimally, we require an individual who is extremely organized, friendly, poised and has excellent judgment. Experience in using a database such as NEON, GT PRO, Sales Force, Salsa, Adobe Creative Suite or other CRM system is required. Strong computer skills (including Outlook, Word Excel,) and fluency in Spanish and/or Portuguese is also required.

S/he will have initiative, excellent communications, organizational, and administrative skills, outstanding problem-solving skills, and the ability to communicate effectively in both English and Spanish. Candidate must have the ability to juggle multiple projects with competing priorities simultaneously while being able to work under short deadlines, and deliver in a rapidly changing, fast-paced office environment.

The Operations Coordinator will work under the direction of the Director, Finance and Administration and Director of Special Events. This position requires a high level of collaboration with the entire staff, but mainly with staff from Office of the President.

PRINCIPAL DUTIES AND RESPONSIBILITIES

50% Database Support

Assist in maintaining the Dialogue’s database and ensuring quality control
Assist staff with database questions
Design and deliver user training ( in collaboration with outside vendor)

Assist with project management (i.e. Annual Dinner’s Awards )

25% Event Production Support

Collaborate with program staff on pre and post events tasks including, but not limited to: database entries, vendor communications, billing and other correspondence.

25% General Office Support

Answer phones, greet visitors and handle vendor issues, as needed
Oversee general e-mail addresses ( iad, meeting, webcast and other) as needed
Assist with preparation of materials for board meetings
Order and maintain office supplies
Assist with new employee orientation
Supervise and manage work load of intern
