Program Coordinator – San Francisco – Performing Arts Workshop

About the Workshop:
Founded in 1965, Performing Arts Workshop helps young people develop critical thinking, creative expression, and essential learning skills through the arts. We are committed to creating more equitable access to dance, theater, spoken word, and music education. With a pioneering artists-in-residency model based on long-term, sequential instruction, the Workshop partners with Bay Area public schools (K-12), preschools, community centers, transitional housing facilities, and juvenile halls to reach more than 4,000 young people each year.

Position Overview:
The Program Coordinator is responsible for supporting the Workshop in planning and implementing programs, which include preschool arts residencies, K-12 arts residencies, parent and community engagement evenings, and an annual student showcase. The program coordinator reports directly to the Program Director. This is a full time position with an annual salary of $42-45K DOE, health, dental, and vision benefits, and a comprehensive paid time off (PTO) package. Candidates must be available to start work on July 11.

Responsibilities:
Program Coordination: Schedule artistic residencies as assigned, cultivate new and existing partnerships, supervise the Workshop’s program and artist scheduling system;
Finance Support: Enter and update residency information for 20+ artists and 300+ residencies into payroll documents; track all artistic staff payroll and provide individual monthly email updates;
Artistic Management Support: Initiate correspondence with artistic staff; manage evaluation surveys, and other paperwork; serve as a point of contact for artists; plan and support annual artistic staff orientation and individual teaching artist orientation; support artistic staff meetings and events;
HR Support: Act as the Workshop’s custodian of records, access and track background check documents of new hires; manage, update, and archive artistic staff HR files and personnel folders as needed; track and document consistently evolving teaching artist and residency schedules;
Program Reporting: Regularly input, track, and support collection of residency data such as student information, evaluations, monthly artist reports, and attendance; project manage annual report;
Database Management & Reporting: Manage the Workshop’s internal database (fundraising, student information, and general contact information), complete necessary updates and revisions, and generate reports as requested by staff, provide monthly reports for the Executive Director and bi-monthly reports for the Board of Directors; request data from artists and site partners and input monthly using the City of San Francisco’s Contract Management System (CMS);
Contract Management: Generate, track, and file all contract materials including: artistic staff employment contracts, site partner contracts, Memorandum of Understanding (MOU’s), and independent contracts; regularly report contract and partnership findings to the program department;
Outreach: Utilize Workshop messaging to articulate programs and artistic offerings; represent the Workshop at local community events and assist with targeted promotion; participate in the social media committee; assist the program department with revision and distribution of promotional materials, website updates, press releases, e-newsletter, and bulk newsletter mailing, etc.;
Special Projects: Coordinate special projects and/or initiatives as designated by the Program and Executive Directors; manage program interns; design intern projects; collaborate in planning and coordinating the Workshop’s annual student showcase.

Required Qualifications:
BA degree or equivalent professional experience;
Experience or interest in serving specialized youth populations (newcomers, special education, transitional age, homeless, adjudicated, post-adjudicated)
Excellent attention to detail and ability to manage multiple ongoing tasks;
Excellent written and verbal communication skills including strong interpersonal skills;
Very strong initiative and ability to learn, contribute, and be self-motivated;
Ability to work collaboratively with staff, site partners, and the broader community;
Knowledge of PC and Apple computer applications including Word, Excel, and Photoshop as well as social media, including Facebook, Instagram, YouTube, and Twitter;
Applicant must be able to provide his or her own transportation to and from Bay Area program sites and outreach activities;

Desired Qualifications:
BA degree in arts administration, education, fine arts, humanities or equivalent professional experience;
Intermediate knowledge of Excel;
Graphic design experience, including proficiency in Illustrator and InDesign;
Knowledge of and interest in the Bay Area arts education community;
Experience working with government agencies and/or public school districts;
Spanish or Mandarin language skills (written and spoken).
