General Responsibilities: Provide administrative, logistics and communication support for Health Center Controlled Network, DRVS reporting solution and other related HIT, data and reporting projects. Anticipate and provide meeting needs and scheduling to support projects and work plans. Deliver business services to support grants and contracts management. Coordinate information flow to consultants and assist with tracking of project work plan deliverables. Produce outreach, information and orientation of community health centers to project goals and deliverables. Support HCCN Director in tracking work plan deliverables and Clinical and Business Analyst in tracking MA Department of Public Health and other deliverables. Support outreach on DRVS participation with community health centers and League committee and staff internal review of data. Coordinate with Azara Healthcare Inc. on projects and meetings. Support invoicing for DRVS subscribers and for consultant work on HIT and DRVS related projects.
Reports to: Health Center Controlled Network Director
Specific Responsibilities:
Provide support to Director of HCCN for communications, implementation of work plan, communications with centers, maintenance of project records and information, maintaining invoicing and related documentation.
Coordinate, track and document HCCN and project related meetings including governance and user groups meetings as well as trainings and task forces.
Support role and activities of Director of HCCN, Clinical and Business Systems Analyst and Executive Vice President in managing DRVS, supporting related meetings of staff and with community health centers and consultants including EMR consultants and Azara HealthCare, maintaining contract, administrative and financial records.
Develop and sustain knowledge and use of DRVS functionality for reporting. Support Clinical and Business Systems Analyst in monitoring DRVS use and status. Develop and maintain expertise in running reports and using DRVS within security parameters. Support staff, projects and CHC staff in use of DRVS and monitoring DRVS data and reports.
Support outreach on DRVS subscription and participation with community health centers and support League committee and staff internal review of data and reports. Support all invoicing for DRVS service subscription and voucher payments under direction of EVP and COO and in collaboration with accounting and finance staff.
Support logistics, communications and record keeping for HIT initiatives with Data Analyst including but not limited to MA Department of Public Health, HRSA and MeHI initiatives including, eReferral Project, HIV projects, Primary Care Payment Reform, learning collaborative, quality forums, MDPHnet and ESP initiatives.
Maintain familiarity with HIT project initiatives and policy and strategy activities including electronic health records, Meaningful Use, health information exchange, ICD-10, data analytics and reporting. Support agenda development, meeting facilitation and management for HIT, HCCN, DRVS and related clinical projects and forums.
Coordinate activities between HIT related staff and consultants and clinical and QI staff of the League to support collaborative work and coordination and communications.
Support logistics for meetings, trainings and webinars, and presentations developed and provided by senior staff.
Provide for research and documentation of knowledge management needs of senior staff, projects and committee work.
Use communication and presentation software to facilitate webinars, presentations, distribution lists, report production and information sharing.
Research healthcare and IT related topics as necessary.
Provide support for other assignments as needed.
Qualifications:
1. Minimum of Bachelors’ degree in sociology and organizational systems, health services or business services and communication or sciences. Related Master’s degree valuable.
One to three years’ experience in health systems, services, care settings or customer service areas.
Experience with community service, volunteer activities, social services and program development, community health centers, public health programs, and community based organizations.
Demonstrated interest in data, quality improvement and technology a plus.
