Receptionist – Humanity United – San Francisco, CA

POSITION SUMMARY:

Humanity United is seeking a dynamic, dedicated, highly customer service oriented, unflappable and personable Receptionist to support the organization’s staff and guests. Primary duties: Answer and direct incoming calls; Greet visitors and direct them to appropriate Humanity United employee(s); Perform general office/administrative duties in support of staff. You will represent Humanity United as the face of the organization.

RECEPTION FUNCTIONS:

Take primary responsibility for receiving and screening visitors and incoming calls, coordinating front desk coverage with other team members, ensuring orderliness and cleanliness of the office and coordinating activities with property management staff
Project HU’s values in all interactions both internally and externally
Assist other administrative staff, as needed, with expense reports, visas and travel requests
Welcome visitors and direct appropriately
Handle all calls and visitors in-line, adhering to security procedures
Receive incoming mail and provide outbound mail services
Proactively monitor, order, and stock office supply areas
Keep kitchen stocked at all times, maintaining inventory and cleanliness for staff and guests
Collaborate with HU’s outside vendors when necessary
Create, maintain and publish staff directory on a regular basis
Order business cards for new and existing staff as requested by HR
Maintain the Receptionist Manual and the Emergency Action Plan, keeping them up to date at all times
Assist the Associate Director of IT with facilities needs and projects
Manage ten conference room spaces through proactive and efficient calendaring
Plan all staff events and parties each month while maintaining monthly events budget
When necessary, assist with events that take place after normal business hours

EDUCATION and EXPERIENCE:

H.S. degree required, Bachelors Degree preferred
Experience working in a high-energy, professional environment

SKILLS and ABILITIES:

Must be reliable and have good attendance
Must be able to demonstrate sound independent judgment
Must have excellent written and verbal communication skills
Must possess excellent interpersonal skills and telephone etiquette
Must be friendly and have good people skills
Must be independently motivated and proactive
Must be able to multi-task and prioritize workflow and adjust projects accordingly
Must be flexible and adaptable commensurate with working in a start-up environment
Must have a working knowledge of Microsoft Office products (i.e., Outlook, Word, Excel, PowerPoint and/or database management)
Should be familiar with Apple-based software products and Outlook
Ability to learn other open-source or proprietary software, as needed

Must be able to sit (normal seated position) for the entire work day
Ability to lift and mobilize medium to large items, weighing up to 50 lb, while utilizing appropriate equipment and safety techniques
Demonstrated high level of customer service proactivity and support
Must have the ability to work full-time and be available to work late on special occasions
