GENERAL PURPOSE OF JOB: Responsible for directing the administrative and implementation elements of the Development and Marketing & Communications Department’s strategic goals and priorities. Manage donor databases and other records related to key FD activities. Manage FD’s grant reporting processes. Manage logistics and implementation of campaigns, contributed income from individuals and institutions and events. Establish, direct and improve administrative processes for Development throughout Project Hope Alliance

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Grants Administration

Establish protocol and calendar, prepare and coordinate grant reports including the gathering of data from program and finance departments
Prepare and maintain reporting calendar/schedules/spreadsheets
Troubleshoot any discrepancies in the reporting
Responsible for the preparation of all interim and final reports to funders
Reconcile and close grants on a timely basis
Maintain complete and accurate grant files
Prospect for new grants opportunities with philanthropic, corporate and tax generated resources
Development of overflow proposals

Development Administration

Manage donor database, research and maintain accurate records and completeness of data
Oversee and conduct prospect research, recommend new prospects for solicitation, and prepare donor/prospect profiles
Participate in and design, planning and execution and oversight of annual strategies for cultivating and soliciting donations from individuals
Oversee logistics of direct mail campaigns
Prepare donor reports for goal setting and goal tracking for newly launched individual giving strategies
Design donor recognition process
Manage the organization’s full development calendar as new activities, events and commitments are secured or planned
Provide direction, oversight and budget tracking with special events activities
Responsible for developing and maintaining additional fundraising and marketing administrative tools such as; dashboards, prospect spreadsheets, annual solicitation and reporting calendars, and tools for tracking revenue and progress toward goals
Oversee administrative support for the efforts of CEO and Development Committee
Manage scheduling and preparing site visits for current and prospective funders
Work with Grants and Development Managers to establish style guide for PHA

Other Responsibilities:

Maintains highest degree of confidentiality and discretion in donor, fiscal, and strategic matters.
Observes best practices and security procedures with regard to controlling private donor information
Meets quality requirements for all outputs with regard to clarity of message, grammar, spelling, and tone.

EDUCATION and / or EXPERIENCE:

BA/BS degree in relevant area required
At least three -five-years’ experience in non-profit fund development administration
Individual giving programs and event experience
Manage several development department related outsourced projects and vendors
Excellent social skills, comfortable in leadership and group settings, able to represent the organization in a professional manner
High-level Donor database software knowledge preferred (PHA currently utilizes Donor Perfect but will be implementing Sales Force). This includes, but is not limited to: knowledge of importing/exporting data, formulating data queries, running reports, prospect rating, integrating data from outsourced wealth check databases, etc

ADDITIONAL INFORMATION:

Must be willing to travel locally to and work evenings and weekends as requested at local and regional events and meetings. Must attend and work the organization’s own events and fund raisers
