DESCRIPTION

We need a rock star Senior Executive Support & HR Specialist, somebody who can see what needs to be done easily and comfortably moves quickly to handle it.
This position provides direct support to the Executive Director on key business objectives, provides support for the Board of Directors, and manages the day to day operations of the agency’s human resource systems. As the ideal candidate, you are a badass project manager with a talent for supporting visionary leaders and a passion for changing the world. You have experience and an interest in organizational and/or entrepreneurial strategy and a knack for anticipating the needs of those you support and personal enjoyment in providing those supports. Duties and Responsibilities
Support to Executive Director (60%)
· Provide project management support to Executive Director on key agency business objectives in her specific work plan
· Conduct support work such as interfacing with key staff and external partners, research on key projects, draft written and presentation materials, etc.
· Coordinate with Learning Infrastructure Team on agency level Key Performance Indicators (KPIs) setting and progress
· Manage Executive Director’s complex, ever changing calendar and proactively provide other administrative supports including agenda development, management of expense reports & MasterCard reconciliation, etc.
· Assist Executive Director with other duties as assigned
Human Resources (25%)
· Management of HR systems (ED serves as chief executive officer for HR) including:
o recruiting, hiring, onboarding
o benefits administration to employees;
§ work with broker to ensure agency compliance with HR laws
§ gather critical information for budget purposes at relevant points throughout year
§ answer employee questions about benefits
§ ensure all employees have needs met in terms of benefits
§ Coordinate with Finance & Administration team on management of benefit premiums, third-party vendor administration, personnel profile maintenance for payroll processing, retirement planning, etc.
o tracking and filing agency staff performance management systems including performance reviews and individual KPI development and fulfillment
· Coordinate agency wide professional development offerings such as team retreats and agency wide trainings in coordination with the Learning Infrastructure team
· Provide staffing support to Executive Director on Human Resource issues such as updates to job description templates, personnel policies,
· Administer annual employee satisfaction survey and analyze results for ED and senior team to use
· Lead internal culture supports for team to ensure ongoing positive and desired culture
Board Support (10%)
· Work with Executive Director to prepare for board meetings including gathering information from management team members, editing, producing and distributing board packet
· Foster good relationships with board members and work with Executive Director to develop and implement board member engagement strategies.
· Maintain organized and updated board files, including administration of board website with relevant information and resources.
· Attend Board and Committee meetings and record all motions and decisions.
Required Qualifications:
· A minimum of 5-8 years of relevant experience
· Demonstrated project management skills
· Strong computing skills including: Microsoft Outlook, Word, Excel, Power Point, Adobe Acrobat, Slack, Asana and Evernote, ability to type at least 60 wpm
· Positive interpersonal skills that demonstrate integrity, strong judgement, compassion, wisdom
· Ability to develop effective chemistry with the Executive Director
· Comfortable with fast paced environment, juggling multiple priorities and some ambiguity
· Proven “customer service” attitude
· Strong written and oral communication skills
· Ability to prioritize and organize
· Knowledge of general office machines and telephone system
· Ability and willingness to work cooperatively with others
· High degree of discretion dealing with confidential information
· Ability to travel for short business trips (not typical)
Additional Desired Qualifications:
· 2-4 years of board support experience
· 1-2 years of HR systems support
· Experience working for a non-profit organization
· Experience in startup entrepreneurial operations
· Commitment to healthy living and health education

Conditions: Job tasks are normally performed in a typical office environment. This position is full time.
