Volunteer & Administrative Coordinator Job Description
Job Title: Volunteer & Administrative Coordinator
Status: Permanent exempt
Reports To: Director of Operations
Shift: 40 hours per week
Position Summary:
The Volunteer Coordinator is responsible for planning, developing and implementing Jubilee’s volunteer program. This person will recruit, orient, train, supervise and evaluate volunteers for special projects or to support the daily activities of Jubilee Women’s Center. This person will have an understanding of the importance of maintaining strong relationships and the ability to identify organizational and program needs. In addition, they will be responsible for a portion of the organization’s administrative needs.
Principal Duties and Responsibilities:
Volunteer Management Duties
Identify organizational volunteer and intern needs
Recruit, screen and interview potential volunteers to match to task or project based on skills, interest and agency needs
Schedule and coordinate volunteers to facilitate programs, provide community meals, clean and prepare bedrooms, plan events, participate on committees, provide office support and boutique maintenance
Oversee boutique operations, including receiving donated clothing, maintaining boutique storage areas and training/supervising boutique volunteers to sort and distribute clothing
Build/maintain relationships with partner organizations that use the boutique
Orient, train and supervise volunteers and maintains efforts for volunteer retention
Coordinate volunteer work party events, holiday celebrations and annual volunteer appreciation event, as well as ongoing volunteer appreciation throughout the year
Support development team with volunteer recruitment and management, as needed for fundraising events and mailings
Maintain thorough and updated volunteer records, including using the Raiser’s Edge database, and generate monthly volunteer reports
Build and maintain relationships with a diverse pool of schools, businesses, parishes, etc. for group volunteer recruitment and in-kind donation procurement
Look for sources of recruitment from diverse communities
Regularly evaluate the volunteer program
Communicate with volunteers regularly through e-updates and social networking sites
Stay connected regularly with interested non-active volunteers
Update and ensure adherence to volunteer policies and procedures
Ongoing volunteer appreciation
Administrative Duties
Generate monthly resident calendar
Answer door and manage front desk when volunteers are unavailable
Manage in-kind donations, wish list and registry
Offer tours to donors and visitors
Inventory, order and stock office supplies
Manage telephone system
Collaborate with other organizations to share in-kind donations
Check front desk voicemail if no volunteers to cover
Assistance with staff projects
Other duties as assigned
Qualifications:
Ability to communicate and work well with people from diverse backgrounds
2 years experience coordinating volunteers, with direct supervisory experience
Experience in customer service, community outreach, administrative support
Friendly, flexible and approachable manner
Excellent organizational skills with strong attention to detail
Excellent verbal and written communication skills with residents, donors, volunteers and staff
Ability to work with frequent interruptions
Working knowledge of computer programs in the Microsoft Office suite
Strong decision-making skills, ability to prioritize multiple tasks
Ability to make frequent daily trips on stairs and lift 20-30 lbs.
Available for occasional weekend and evening work
Access to a car preferred
