Human Resources Associate – Alameda County Community Food Bank – Oakland, CA

The Human Resources Associate works with and supports the Director of Human Resources to provide excellent administrative support and customer service to internal and external stakeholders in the areas of recruiting, compensation & benefits, employee relations, and risk management.

Essential Duties And Responsibilities

Administration

Organize and maintain personnel files

Prepare onboarding packages

Prepare employee handbooks for distribution

Schedule meetings, draft agendas, and take minutes

Compensation & Benefits

Work with middle managers to ensure accuracy of employee timecards

Work with Accounting Manager on bi-weekly payroll processing

Assist with employee benefits administration and annual open enrollment process

Respond to employee inquiries by articulating finer points of benefits programs in layman’s terms

Ensure that current employee information is processed through all compensation/benefit systems

Create benefits folders for new hires

Recruiting

Schedule and coordinate on-site interviews with hiring managers

Communicate with prospective candidates to confirm interview times and collect application forms

Employee Relations

Provide on-boarding to new employees to introduce policies & procedures, Food Bank organizational culture as well as required notices, safety, workers’ comp

Maintain and develop various communication tools such as monthly Food Bank staff calendar, bulletin board upkeep and intranet site

Develop and implement recurring employee relations events such as recognition, celebrations, and training programs

Maintain employee communications including employment, staff, and recognition boards

Customer service ambassador to both internal and external customers and volunteers

Other duties as assigned

Risk Management

Ensure proper background screenings, including DMV pull notices and DOT documentation are completed during pre-employment process

Work with employees to complete workers comp claim forms and ensure that injured employees are directed towards the proper medical attention

Knowledge Skills and Abilities:

Required:

Interest in human resources

At least one year administrative experience in a professional services environment

Advanced customer service skills in person, over the phone and through electronic communications

Professional appearance and demeanor

Intermediate to advanced public speaking skills

Attention to detail /precision in daily work product

Intermediate to advanced computer skills in MS Word, Outlook, Excel, and PowerPoint

Experience with cloud-based HRIS

Experience with applicant tracking systems and job board tools such as LinkedIn Recruiter

Excellent administrative/organizational skills

Ability to multi-task under strict timelines

Ability to work with constant interruptions

Preferred:

Bachelor’s degree in areas of human resources, business, or organizational development

PHR/PHR-CA or SHRM-CP designation(s)

Previous work experience in a client services field, such as the legal, operations, accounting, finance, and hospitality industries

Physical Requirements:

This position is in an office environment and involves some need for a flexible schedule to accommodate Food Bank events. The following physical activities are necessary in the performance of this job: ability to use a computer to accomplish the duties of the position, including writing and seeing.
