Campaign & Stewardship Associate – California College of the Arts

POSITION SUMMARY:
The Campaign and Stewardship Associate works to ensure the smooth and successful operations of major fundraising campaigns, as well as the daily operations of the Advancement Office of CCA. With supervision from the Director of Advancement Services and Prospect Research and under the direction of the Senior Vice President, this position supports multiple stakeholders in their work on the capital campaign, and on related college-wide planning and outreach projects. The Campaign and Advancement Services Manager further facilitates CCA mass mail and email communications, and manages gift processing for all charitable contributions. Ultimately, the goal of this position is to maximize fundraiser achievement and donor giving through the effective management of Advancement Office infrastructure, programs, and procedures.

RESPONSIBILITIES INCLUDE:
Campaign Management (35% of workload)
•Works closely with Senior VP to fulfill responsibilities for day-to-day management of major campaigns. •Provides admin support for all of the Senior VP’s campaign related work.
Provides direct administrative support for campaign steering committee and related task forces, as well as for individual committee members. This support includes meeting prep and execution, fulfilling the administrative needs of trustees and other VIPS on campaign committees, and being the administrative interface with other CCA departments who work with Advancement on the campaign and campus planning.
•Develops and implements recordkeeping and internal communication systems for the campaign fundraising team. Coordinates production of (and helps produce) campaign presentations and background materials for various meeting. Sets meetings and drafts correspondence. Tracks progress toward campaign financial and timeline goals.
•Organizes and monitors volunteer assignments and follow-up. As needed, supports the cultivation and solicitation work of campaign fundraisers, (both volunteers and staff).
•Serves as a primary contact within CCA for external campaign counsel. Provides them with materials and information as requested.
•Generates regularized campaign progress reports. These reports show income, expense and program activity against goals.

Endowment and Scholarship Reporting and Stewardship (25% of workload)
•Maintains scholarship and other endowed fund records with comprehensive history of gifts, awards, and awarding criteria for all named funds.
•Oversees annual “thank you” letter writing process by student scholarship recipients.
•Prepares annual scholarship and other endowed fund mailing for donors, including fund financial reports, letters, thank you notes, and any other materials needed.
•Works with Financial Aid to ensure all scholarships are properly awarded.
•Assists the Events Manager with identifying and training student speakers and ensuring robust student attendance at annual Scholarship Dinner.

Acknowledgement Letters & Gift Receipts (25% of workload)
•Drafts, requests edits, finalizes, and sends acknowledgment letters in a timely manner to be signed by the CCA President, Senior VP, Board Chair, and any other fundraisers responsible for acknowledging gifts.
•Verifies tax receipt language (used in acknowledgments/ receipts) is accurate and in keeping with CCA policy to comply with IRS regulations. Keeps up-to-date on IRS regulations.
•Ensures digital and/or hard file copies of acknowledgements are maintained per CCA policy.
•Works closely with gift processing staff to ensure that all gifts are acknowledged accurately.
•Customizes letters as needed and refreshes boilerplate thank you copy at regular intervals.

SVP Office Operations and Events (15% of workload)
•Maintains smooth administrative operations of the Senior Vice President’s office. Provides systems, administrative, and record keeping support for all activities undertaken by the Senior VP. Plays a critical role in supporting Senior VP activity to cultivate and solicit donors.
•Maintains Senior VP’s calendar and sets meetings. When Senior VP is out of the office, answers her phone line and helps fulfill the request of the caller if possible.
•Proofs letters and reports draft by the Senior VP.
•Preps, prints, and mails all correspondence for Senior VP and maintain copies (hard or digital) of all correspondence and key moves management tasks.
•Maintains hard files for Senior VP.
•Interfaces with individual donors at all levels and represents the college in a variety of stewardship activity.
•Works at donor and alumni events as required.
•Performs other duties as assigned.

MINIMUM QUALIFICATIONS:
•BA/BS with experience working in a fundraising office or similar environment.
•Strong inter-personal, verbal, and written communication skills and an ability to act in a mature and professional manner with a variety of constituents, including major donors and trustees.
•Experience writing personalized business correspondence, with strong proofreading skills.
•Excellent computer proficiency, with Microsoft Office and comprehensive database computing skills required; working knowledge of Raiser’s Edge is preferred.
•Excellent organizational skills and attention to detail in all duties.
•Ability to multi-task and set priorities.
•Maintain positive attitude at times of increased workload; successful track record of working cooperatively and flexibly as part of a team and in a support position.
